4.1 Total cancellation of the trip
4. Cancellations by the Customer *

BOT will charge the following fees in the context of a cancellation of confirmed travel services:

More than 35 days before the date of arrival of the group = no cancellation fees

Between 35 and 20 days before the group arrival date = 75% cancellation fee

Less than 20 days before the arrival date of the group = 100% cancellation fee.

4.2 Partial cancellation

A reduction of the number of rooms of maximum 10% can be carried out without expenses between 35 and 20 days before the date of arrival of the group, if this one is addressed in writing to BOT. Any partial cancellation after this date will incur a 100% fee. All services that have already been confirmed and / or paid (eg theater tickets etc.) will be charged 100% in all cases.

* BOT reserves the right to modify the above clauses according to the conditions of certain suppliers.

1. Conclusion of the contract and services provided

All reservations must be confirmed in writing.

The scope of the services provided by BOT is limited solely to the description of these services in the booking confirmation written by BOT. Additions or modifications to these services require written confirmation from BOT to be applicable.

BOT reserves the right to apply any unexpected price increases to the Customer such as VAT increases or price increases applied by the suppliers and therefore to increase the contract price accordingly.

2. Payment

To guarantee a reservation, a refundable deposit of 25% is required within 10 days after receiving confirmation, by bank transfer. The balance must be paid 35 days before the arrival date of the group. The amount to be paid will be in GBP GB, unless otherwise indicated.

These conditions may be modified by BOT depending on the conditions of certain suppliers.

BOT reserves the right to cancel any service in the event of late payment and to demand payment of cancellation fees. 

Travel documents will only be sent after receipt of full payment. The Customer will be held responsible for the consequences or damages resulting from the late receipt of these documents, due to late payments.

BOT is responsible for charges levied by its bank, following the receipt of payments from the Customer. The Customer is responsible for charges levied by his bank and the correspondent or intermediary banks for payments sent to BOT.

3. List of participants

A provisional distribution of rooms will be required 6 weeks before the arrival date of the group, in order to transmit it to the hotels before the cancellation date. The final list of names must be provided at least 35 days before the arrival date of the group. Changes or cancellations made less than 35 days prior to the group arrival date will not be accepted and a cancellation fee may apply.

5. Cancellation by BOT

BOT reserves the right to cancel any reservation, if these conditions are not respected by the Customer. BOT also reserves the right to cancel a particular contract if the Customer has failed to fulfill his obligations regarding another travel contract with BOT.

6. Complaints and compensation

In the event of complaints or problems concerning the services provided by BOT, it is mandatory to inform BOT of these problems immediately, while the group is on site. That way, our team will be able to look into them and to solve them whenever it is possible. If the Client fails to follow this procedure, the right to a compensation may be affected, as we will not have had the opportunity to rectify the problem. If this complaint is not resolved during the trip, a formal and detailed report must be sent to BOT within 5 days by the end of the stay.


Any contract signed with BOT will be subject to the laws and jurisdiction of England.
